Flights

When will I receive my group flight reservation?

This varies depending on the airline being flown. The earliest possible is generally about 6 weeks from the trip start date, but it can be as little as 3 weeks out.

Where do I find my group flight reservation?

All flight information is linked on your trip landing page on our website (please contact us if you are not sure how to access this). If physical e-tickets have been issued by the airline, they will be grouped together in a folder. If your booking was made with just an e-ticket number or booking reference, you will be able to find your details on the “Flight Reservation Sheet”

What if I do not wish to fly with the group?

When registering for the trip, you will have the option to book the full package or the “ground-only” option that does not include flights to the destination. You will then be responsible for booking your own flight. Please note that, if your flight schedule differs from the group’s, you will have to arrange your own transportation to meet the group. If you want to switch packages after registering, please email your request to groups@astravel.world. Note that any change is based on availability, so let us know ASAP.

Payments

How do I make payments?

If you are paying by family or individual, payments will be handled thorough our partner, WeTravel, where there are two ways to pay a balance due:

1. You will receive an email from the organizer. The email will have a big button "Pay Balance Due". Just click on the button, sign in to your WeTravel account and you will be redirected to the payment page for your balance due. If it's your first time paying after making a deposit then you will have to set a password for your account.

2. You can at anytime sign in to wetravel.com and pay your balance there. Click on "My Trips".  Then click on "Manage Booking"

If your group is paying together, please contact your group organizer for more information.

Cancellation

How do I cancel?

Cancellations must be submitted in writing by either email or mail. If multiple people are cancelling, please specify each participant cancelling. Fees and/or refunds are based on receipt date.

How much do I owe if I cancel?

Cancellation fees are computed using the following schedule*:

Minimum fee.....................................……………….…$300 (including deposit) 

76-150 days prior to departure..............25%

46-75 days prior to departure……….….50% 

45 days or less...........................……………………........100% 

*For packages that include airfare, any airline fees associated with the change in plane tickets will be the responsibility of the guest. Please see our terms and conditions for more information.

Fundraising

When are the prize winners announced?

The annual drawing will be held on September 15th. The winners will be announced and notified at that time.

Do the tickets have to be sold for $10?

No, there is no required purchase amount, however, we recommend a suggested donation of $10 or more per ticket.

If I sell all my tickets, can I get more?

Yes, please send the first pack of 100 ticket stubs to our office and we will process a second book of 100 for you.

What do I do with the money and stubs once I have sold the tickets?

You must return all of the ticket stubs, record sheet, and donation money to your program administrator. The administrator will then send all received ticket stubs to the ActivSport office. (Address provided above)

Can a donor get more than one ticket entry?

Yes, however, there is a limit of 10 entries per family.

What are the odds of winning?

This depends on the number of entries submitted.

Can I go door to door alone?

We encourage anyone participating in the sweepstakes to be accompanied by a family member or friend.

Can I set up a table at a local event to solicit?

Yes. Make sure to get permission from the event organizers in advance to prevent issues.
